Given the time and effort you invest in writing it, could it double as a tool to inform supporters, donors, or members?<\/p>\n\n\n\n<p>Many churches and charities already use the &#8216;Achievements and Performance&#8217; section of the report as a year-in-review for their community. I&#8217;ve seen great reports enhanced with photos, such as leaders receiving awards, volunteers in action, food parcels being distributed etc. These images tell a powerful story.<\/p>\n\n\n\n<p>For example, one church created a one-page infographic highlighting its impact. They included it in the report and sent it out with their <a href=\"https:\/\/expenseplus.co.uk\/fund-accounting\/10-things-to-consider-when-thanking-donors-in-your-church-or-charity\/\" target=\"_blank\" rel=\"noreferrer noopener\">annual thank-you letters<\/a>. There are plenty of creative ways to make your Trustees\u2019 Annual Report more engaging and widely used.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"who-is-reading-your-annual-report\">Who is reading your Trustees&#8217; Annual Report?<\/h2>\n\n\n\n<p>Your report and accounts are public, available on the Charity Commission\u2019s website. They might be read by your bank manager, a potential lender, <a href=\"https:\/\/expenseplus.co.uk\/fund-accounting\/receiving-grants-a-guide-for-charities-and-churches\/\" target=\"_blank\" rel=\"noreferrer noopener\">a grant funder<\/a>, or a future donor. If you plan to apply for funding or loans, it\u2019s worth taking the time to tailor your report for these readers.<\/p>\n\n\n\n<p>Think about your audience &#8211; regular supporters, beneficiaries, funders. What do you want them to know about your charity\u2019s story, your work, and your impact? Use your report to open that window.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"achievements-impact-future-plans\">Achievements, impact, and future plans<\/h2>\n\n\n\n<p>Every charity must report on its achievements. Larger charities need to show progress against their stated objectives, but even smaller organisations benefit from this approach. It helps create a consistent narrative over time, showing how you&#8217;re meeting your charitable aims and pursuing your vision.<\/p>\n\n\n\n<p>Impact can be hard to measure &#8211; especially for faith-based charities &#8211; but don\u2019t shy away from describing the difference you\u2019ve made. Use stories, quotes from service users, and real examples of changed lives. Talk about new projects, partnerships, or areas of outreach.<\/p>\n\n\n\n<p>Also, provide context for your numbers. If a leader has stepped down or a social or political change has affected your work, explain how. Has income dropped, or has a new funding source emerged? Give your readers the narrative behind the figures.<\/p>\n\n\n\n<p>You\u2019re also required to summarise your future plans. This is a great moment for trustees and leaders to revisit the strategic plan. Outline your objectives for the coming year, how you\u2019ll achieve them, and then, next year, reflect back &#8211; did you meet those goals? Celebrate your progress, share your aspirations, and be honest about your challenges.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"the-required-bits\">The required sections and checklist for a Trustees\u2019 Annual Report<\/h2>\n\n\n\n<p>Some parts of your Trustees\u2019 Annual Report are more technical. These include your governing document, trustee recruitment and public benefit statement. But even these can be tailored to your charity\u2019s voice.<\/p>\n\n\n\n<p>For example, don\u2019t just state that the trustees have had regard to the Charity Commission\u2019s guidance on public benefit. Explain how your work benefits the public. What services do you provide? Who benefits and how?<\/p>\n\n\n\n<p>Here you can download a <a href=\"https:\/\/1drv.ms\/b\/s!Am67QW5jaG13hoRTq4HxsEn2Q9rIog?e=1rqxAE\" target=\"_blank\" rel=\"noreferrer noopener\">checklist of reporting requirements<\/a> for larger charities following the <a href=\"https:\/\/expenseplus.co.uk\/fund-accounting\/what-is-the-charities-sorp-and-how-does-it-affect-my-church-or-charity\/\" target=\"_blank\" rel=\"noreferrer noopener\">Charities SORP<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"reporting-for-larger-charities-that-small-charities-can-include\">Reporting for larger charities (optional for smaller charities)<\/h2>\n\n\n\n<p>Some reporting requirements only apply to larger charities, but smaller organisations may still find them useful. If you aim to grow or want to be more transparent, smaller charities can consider adopting some of these practices now.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"grant-making\">Grant making<\/h3>\n\n\n\n<p>If you support other charities financially &#8211; even as a small part of your work &#8211; include a section explaining why you chose those charities and how this supports your own mission.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"volunteers\">Volunteers<\/h3>\n\n\n\n<p>Volunteers are vital. Highlight their contribution. You might want to name and <a href=\"https:\/\/expenseplus.co.uk\/fund-accounting\/giving-gifts-to-volunteers-in-your-church-or-charity\/\" target=\"_blank\" rel=\"noreferrer noopener\">thank volunteers<\/a> who went above and beyond &#8211; a retired couple running a caf\u00e9, an intern supporting a project, or someone leading a key service.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"financial-review\">Financial review<\/h3>\n\n\n\n<p>Often, this section just presents the figures, and a fund accounting software like <a href=\"https:\/\/expenseplus.co.uk\/\" target=\"_blank\" rel=\"noreferrer noopener\">ExpensePlus<\/a> can help you with this. But it\u2019s also a chance to explain the story behind the numbers. What significant events influenced your finances? Larger charities provide more detail &#8211; how free reserves are calculated, what their policy is, and what steps are being taken to reach the desired level. Even if you\u2019re a smaller charity, it\u2019s worth including these points.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"investments\">Investments<\/h3>\n\n\n\n<p>If you hold investments, consider including a summary of your ethical, social, or environmental investment policy &#8211; especially if the board has spent time developing one.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"risks\">Risks<\/h3>\n\n\n\n<p>Every charity faces risks. Use the report to show you\u2019re actively managing them. Identify your key risks, explain what you\u2019re doing about them, and demonstrate that the Trustees are engaged and proactive.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"other-areas-you-might-include\">Other areas you might include in your Trustees&#8217; Annual Report<\/h2>\n\n\n\n<p>You can add sections that align with your charity\u2019s focus. For example:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>environmental impact<\/li>\n\n\n\n<li>safeguarding practices<\/li>\n\n\n\n<li>social action projects<\/li>\n\n\n\n<li>a statement of faith (for churches)<\/li>\n\n\n\n<li>updates on buildings or assets<\/li>\n\n\n\n<li>notes from a quinquennial inspection<\/li>\n\n\n\n<li>a personal message from the chair of trustees.<\/li>\n<\/ul>\n\n\n\n<p>These can help readers understand your work and values more deeply.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"make-it-your-own\">Make it your own<\/h2>\n\n\n\n<p>Ultimately, this is your report &#8211; make it reflect your charity. Engage your readers, highlight your achievements, and make the process valuable for your trustees. It\u2019s an opportunity to reflect on your strategy, risks, and finances, and to celebrate your mission.<\/p>\n\n\n\n<p>While the Trustees\u2019 Annual Report should be approved by the full board, you can involve different team members in drafting relevant sections. And once it\u2019s complete, share it widely. Ask for feedback.
